Terms and Conditions

Rental Deposit: Reserving a home requires a deposit of 50% of the total amount due. Cascara Vacation Rentals, LLC (“Cascara”) will charge your card upon making your reservation. If paying by check, deposits not received within ten days of making the reservation risk cancellation. The remaining balance is due 45 days before arrival and will be processed automatically and is at that time no longer refundable even if dates are shortened or canceled. Cascara will send your final confirmation electronically unless otherwise requested.

Cancellation Policy: Any cancellation received by Cascara in writing earlier than 45 days prior to arrival for any reason will receive a full refund less a $75 processing fee. No refunds will be given for cancellations 45 days and less prior to arrival. Cascara reserves the right to cancel any reservation or substitute rental homes due to circumstances beyond Cascara’s control.  There are no refunds due to situations or occurrences beyond Cascara’s control.

Minimum Nights: At certain times of the year, some homes and bookings require a stay of a minimum number of nights. Cascara will contact you to discuss options should there be an issue regarding minimum night requirements after your online booking has been made. You may contact Cascara at (800) 531-1130 should you have questions regarding any seasonal minimum night requirements.

Pet Fees: Pets must be declared when reserving a vacation rental home as not every home allows pets. A fee of $20 per pet, per night will be charged, and some restrictions apply. Upon reasonable advance notice, Cascara will make policy exceptions to accommodate a guest’s need for a service animal, including a waiver of the pet fee and allowance of a service animal in an otherwise non-pet friendly home.  Guests must notify Cascara in writing in advance if a request is being made to accommodate a service animal in the home.  Except for service animals, Homeowners and/or Cascara reserve the right to accept or deny pets. Pets reported or found in non-pet homes is considered a cause for termination of contract, immediate removal of guests, and forfeiture of any and all payments and deposits.

Pet Guidelines

1. If you leave your pet in the home while you are gone, please place your pet in a pet carrier so it won’t scratch up walls or trim if you will not be in the home.

2. Please make sure that your pet does not bark and disturb those around you.

3. Sunriver rules require that your dog be under effective voice control or on a leash at all times.

4. If you are walking along the bike paths, please be sure to pick up any mess your pet may leave behind.

5. Although we welcome your pet, others may rent the home that aren’t bringing pets. Please do not permit your pet to get on the bed coverings or the furniture.

6. Please walk around the perimeter of the home at your departure and dispose of any “pet doo” in the garbage.

Damages: Renting a home with Cascara includes an Accidental Damage Protection Plan cost, depending on the home. The plan covers certain accidental damages up to $500. Damages in excess of $500 to the rental home including, but not limited to, excess carpet spots, damage by pets, and/or a home that is left in unreasonable condition, are the financial responsibility of the registered guest. If damage does occur during your stay, you must report it even if it is included in the damage waiver.  By renting the Property, guest hereby agrees to defend, indemnify, and hold harmless Cascara and the owner of the property (including reasonable attorney fees) for, from, and against any damage caused to the Property and any accident or injury occurring to any occupant, invitee, or guest of the property occurring during guest’s use of the Property. 

Maximum Occupancy:  Occupancy limits are strictly enforced per Deschutes County code 5.12.020 & 5.12.060. If maximum occupancy is exceeded, you will be asked to vacate the property and forfeit any rental payments.

Lost Keys and Individual Home Amenities Access Passes: There is a $25 charge for each key that is lost or not turned in upon check-out. Amenity access passes (laminated or electronically coded) must be returned to their hooks in the home or guest will be responsible for cost replacement of lost amenity access cards.

 Cleaning Fee: All units have a non-refundable cleaning fee. Please contact us upon arrival should you require further cleaning assistance.

Amenities & Appliances: Individual home amenities such as a hot tub, washer/dryer, appliances, audio/video equipment, etc. are subject to down time for repair or maintenance. Should there be a concern with any items upon your arrival, please call our office. We will make every reasonable attempt to repair or replace items as such that are in need during your stay. All items within the homes are inspected periodically. Items such as bicycles and hot tubs at homes are to be used at guest’s own personal risk. Such items are to be inspected by the guest prior to use. By using any items each guest assumes all risk associated with the activity including, without limitation, any personal injury.  Guests are to report any needed repairs to such items. Cascara is not liable for and does not guarantee the quality or safety of bikes or other items provided at the property.

Check In/Out: Check-in time is typically between 4:00 and 5:00 PM. During peak seasons check-in time can be delayed. Check-out time is 11:00 AM. There are no exceptions made during busy or holiday seasons unless previous arrangements have been agreed upon.

No Smoking or Vaping: All Cascara Vacation properties do not permit smoking or vaping inside the vacation homes or condos. This includes, but is not limited to tobacco, marijuana, vape pens, vaping, cartridges containing liquid nicotine, hookahs, cigars, or any lighted inhaled material. Any damage caused by smoking is 100% the responsibility of the guest on file.   All costs of additional cleaning will be the responsibility of guest on file.  Sunriver is surrounded by the abundant wooded area of the Deschutes National Forest, which makes for a very high wildfire risk in the warm months.

According to Sunriver Owners Association (SROA) Rules and Regulations:

Smoking of cigarettes, pipes, or other substances on or along any road, drive, lane (except within an enclosed motor vehicle), pathway, trail, or any SROA owned property is prohibited unless specifically permitted by signage.

Other: Cascara is not responsible for lost or stolen items. Registered Guests must be 21 years of age or older.  Subletting all or any portion of a rental home is strictly prohibited. These rules, regulations, and guidelines are subject to modification at any time without notification. Rates are subject to change. Any reservations made under false pretense will be subject to forfeiture of advance payment of rental deposit and the party will not be permitted to check-in. There are no refunds due to natural or man-made disasters, electrical black-outs, loss of telephone or utility service, governmental rules or regulations including, without limitation, pandemics, or events beyond Cascara’s reasonable control. Rates are subject to change at any time.

Miscellaneous:  If guests consists of more than one party, all representations, warranties, covenants and other obligations of guests are made by each guest under this Agreement on a joint and several basis.  The parties do not intend to confer any right or remedy on any third party.  This Agreement contains the entire understanding of the parties regarding the subject matter of this Agreement and supersedes all prior and contemporaneous negotiations and agreements, whether written or oral, between the parties with respect to the subject matter of this Agreement.  If a provision of this Agreement is determined to be unenforceable in any respect, the enforceability of the provision in any other respect and of the remaining provisions of this Agreement will not be impaired.  The rule of construction that a written instrument is construed against the party preparing or drafting such agreement will specifically not be applicable to the interpretation or enforcement of this Agreement.  This Agreement is governed by the laws of the State of Oregon, without giving effect to any conflict-of-law principle that would result in the laws of any other jurisdiction governing the Agreement.  If any dispute arises regarding this Agreement, the parties agree that the sole and exclusive venue for resolution of such dispute will be in Deschutes County, Oregon or the United States District Court for the District of Oregon, Eugene Division.  All parties submit to the jurisdiction of courts in Deschutes County for any such disputes or the United States District Court for the District of Oregon, Eugene Division.   If any suit or action is filed to collect any unpaid balances or enforce the terms of this Agreement, the prevailing party shall be entitled to attorney fees and costs incurred, including any attorney fees and costs on appeal.    

Accommodations.  Cascara does not discriminate based on race, religion, color, national origin, sex, sexual orientation, age, veteran status, marital status, disability status, or any other applicable characteristics protected by law.  If any guests need assistance finding reasonable accommodations related to a disability or needs assistance in booking any accommodations, please contact Cascara for further assistance.
